Background
The UTM Safe Travels Pilot Program was developed to help U of T faculty and staff safeguard U of T data when traveling abroad.

UTM Pre-Travel Security Consultation Pilot
Overview
Prior to traveling, UTM faculty and staff can schedule a travel security consultation to review best practices around securing devices and safeguarding data.
Eligibility
This program is open to current faculty and staff who will be traveling or conducting work off-campus on behalf of U of T.
Scheduling a consultation
To schedule a pre-travel security consultation, submit a ticket through ServiceNow at least two weeks before traveling with the following details:
- Travel dates
- Travel location(s)
- Travel purpose
The UTM Service Desk will respond via the ticket to schedule a consultation.
Travel Laptop Loan Pilot Program
Overview
UTM’s Travel Laptop Program will offer loaner laptops to faculty and staff who will be conducting work off-campus.
For the pilot, one laptop will be available for faculty and staff to borrow on a first-come, first-served basis. This program will be expanded in the future.

Laptop features include:
- Windows 10
- Software:
- VPNs: Cisco AnyConnect, OpenVPN
- Microsoft Office
- Web browsers: Internet Explorer, Chrome, Firefox
- Full device encryption and antivirus
- Accessories:
- Travel case
- Power cord
Eligibility
This program is open to current faculty and staff who will be traveling or conducting work off-campus on behalf of U of T.
Loan Period
The maximum loan period is 60 days.
Reserving a Laptop
To determine whether a laptop will be available for your trip, submit a ticket via ServiceNow to the UTM Service Desk at least 14 days before your travel date with the following information:
- Name
- Department
- Laptop pick-up date
- Laptop drop-off date
- Travel location(s)
- Type of data to be stored on laptop

You will receive an email confirmation that your request has been submitted.
Once your request has been reviewed, the UTM Service Desk will respond via the ticket to let you know if a laptop will be available and provide further with instructions.
Pick-up
Once you have received the email indicating your loaner laptop is ready, please visit the UTM Service Desk to pick up the laptop.
Drop-off
Upon return, all data will be removed and the laptop will be re-imaged.
If there is any information you wish to save, please ensure that you have copied it from the laptop before returning it or ask the UTM Service Desk for assistance.
Availability
The ability to borrow a laptop through this program is dependent on the availability of equipment.
Cost
Free for faculty and staff. However, departments may be responsible for any damage or loss of laptop and peripherals.
